Executive Assistant

We are looking for a dynamic Executive Assistant on a permanent part-time basis, working four days a week.

This position will be located at our Belmont office. Our office hours are Mondays to Fridays 9:00am to 5:06pm and there is some flexibility with start and finish times.

Salary: SCHADS Award level 4.1($41.52) to level 4.4 ($44.68) per hour depending on experience, plus super.  Option to salary package up to $15,990pa reducing taxable income.

The ideal candidate will play a pivotal role in streamlining our executive operations, managing special projects and ensuring the smooth running of our office.

The ideal candidates will possess the following skills and attributes:


    1. A qualification in business administration, management or equivalent experience.
    2. High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Canva.
    3. Exceptional written and verbal communication skills, with the ability to communicate effectively with all levels of staff, business partners and external stakeholders.
    4. Strong organisational and time management skills, with a proactive approach to problem-solving and decision-making.
    5. Experience managing internal communications platforms such as a company Intranet to enhance employee engagement.
    6. Knowledge of project management principles and experience leading special projects from conception to completion.
    7. Experience in event planning and coordination.
    8. Preparedness to work within Umbrella’s Philosophy, Values and Mission.
    9. Demonstrated ethical standards and values.


    • Knowledge of the latest trends in office management and technology to drive business efficiencies and improvements.
    • Knowledge of the Aged Care Quality Standards.
    • Knowledge of diversity, access and equity issues for CaLD and LGBTIQ+ seniors.
    • Current driver’s licence.
